The Noodle Folder module provides users with a way to share important documents with colleagues, customers or partners. This page describes the different feeds, how to use the Folder to upload and download Files quickly and efficiently and other features such as archive uploads and approvals. Feed View

The Noodle Folder has a Feed View that displays all documents in a folder based on the date and time when the document was uploaded or created.

The Feed View is a richer view and shows more information about files it contains, such as image thumbnails as well as providing access to certain extra functions, such as being able to 'Check Out' documents. These extra functions will be detailed below.

Checking Out Files

Checking Out files is a method that allows users to work on a document, safe in the knowledge that they will be the only person working on it. Clicking on the 'Check out' link will download the file to the User's PC to allow it to be modified as necessary. The download location will depend on the browser configuration. The file will be marked as 'Checked Out' in two ways - a padlock icon will be displayed above the file's icon and 'Checked out by', followed by the name of the person who checked out the file, will be displayed underneath the filename:

Checking In Files

Once document has been updated as necessary, it can now be either replaced or a new version created. Click the 'Check In' link below the filename to display the Check In menu. Use the 'Browse..' button to select the replacement and add a description if required. The default operation is for the file to be replaced - if a new version is desired, select the 'Yes, make a new version' radio button and click Upload:

Replacing Files

Replacing Files is a quick and easy way to make a new version of a file available for Users to download or modify. Click on the 'Replace' link to display a dialogue box allowing a new file to be uploaded, as well as providing a description and choosing whether the uploaded file will be a replacement or create a new version.

List View

List View displays a list of all files the folder contains in reverse alphabetical order. By default, the Title, Info, Size, Date and Tags columns will be displayed. To alter the columns, use the Custom View option within Administration -> Settings.

Creating Folder

Sub-folders can be created quickly and easily to manage the structure of a Document Management system within Noodle. To create a new folder, click on the 'New Folder' button, enter a name in the textbox and click 'Create':

Uploading Files

Noodle's Folder module has 2 methods for uploading files. Files can be uploaded one by one, or a .ZIP archive can be uploaded that will be extracted and it's contents placed in the Folder.

Uploading Single Files

Uploading an extractable archive

Uploading an extractable archive is a quick and easy way to upload multiple files to a Noodle folder. Click on the 'Upload Files' button to display the Upload menu and then the 'Upload and Extract Zip files' tab. Underneath 'Select a .zip file to upload' click 'Browse' and select a .ZIP archive that contains the files to be uploaded:

Downloading Files

Downloading Single Files

Downloading single files is as simple as clicking on the filename or icon file to be downloaded. This file will be downloaded to the folder specified by your browser.

Downloading all files in a Folder

To download all files from a folder, simply click on the 'Download All' button. Clicking on this button will create a .ZIP archive that can then be extracted by the User. The name of the .ZIP archive will be the name of the Folder from which the archive was created with the '.zip' extension, for example, an archive created from a folder name ProjectFiles would be named ProjectFiles.zip.

Actions Menu

Clicking on the Noodle Folder Actions Menu icon icon will display the Actions Menu with various File options as follows:
  • Info
  • This option will display detailed file information, such as who has viewed the file, who has made contributions, and a change history, as well as the ability to notify members. Click on one of the tabs to view activity and enter a message in the textbox below to notify the list of viewers by email.

  • Cut
  • This option allows the item to be Cut from the current folder so it can be moved to another location.
  • Copy
  • This option allows the item to be copied from the current folder to another location.
  • Delete
  • This option deletes the chosen item and places it in the 'Deleted Items' Folder.
  • Route
  • This option is a high-level ability that allows items to be moved from one folder to another with the push of a button. To Route a file click on the link, select a Route and confirm:

  • Notify
  • This option allows user/s to be emailed with a link to the file.
  • Message
  • Clicking on this option will open up the Instant Messenger with a link to the file in the textbox.

Adding/Deleting a Comment

Clicking on the Adding a Comment to a File in a Noodle Document Management Folder icon will display a textbox allowing a comment to be added to a file. Enter a comment in the textbox and press the Add Comment button:

To delete a comment, click on the 'X'. The number of comments already added to a file will be displayed inside the comments icon.

Tags

Tags can be assigned to items to group content - this ensure that regardless of name or location, information about a specific subject can be found easily. List View has a Tag Column that displays Tags that are currently assigned to a File, as well as an icon 'Noodle Intranet Document Management Tag Icon', to allow Tags to be assigned.

Ordering

Users can alter the order in which Files are displayed in a Folder.

In the top-right corner of the Feed View there is an 'Order' link that switches between alphabetical (A-Z) and by date uploaded (Date).

In List View, clicking on a column title will order the Files based on the column type, for example, clicking on the 'Size' column will order the Files in the Folder by size, smallest first. Clicking on the same column twice will reverse the order, for example clicking on 'Size' a second time will order the files by size, largest first.

Access Rights

Access Rights controls which Users and Groups can access the folder, read or download files and make modifications to files. Check out the Access Right Explanations below for information about each permission level.

Settings

The Settings tab allows the view style of the folder to be altered for all members for the List View. A custom view can be created to allow specific folders to only be shown.

Routing

Routes can be created to permit users to move files to Folders elsewhere on Noodle. This is especially useful when you need files to be uploaded to Folders that Users do not have normal access to. To create a Route, click the 'Add New' button, give the Route a name and specify the destination folder:

Access Rights Levels Explanations

This section explains the functionality provided by each level of Access Rights.

  • Read - Read permission allows the user to view the list of documents the Folder contains, download files that Folder contains and also information for each file.
  • Post - Post access allows the User to View the list of files, download files it contains and also upload files to the folder. Post access also permits users to create sub-folders.
  • Modify - Modify access allows the user to view the file list and files, upload and modify existing files, leave comments, tag files and create subfolders.
  • Admin - Admin permission allows the user access to the Administrative section for the Folder.
  • Route - Routing access allows the user to move files from one folder to another, pre-determined folder.
