The Calendar provides Noodle users with an easy
access organizer. Add events, create merged views and combine with
portals for a great way to manage your schedule!
Creating a Calendar - Regular Calendar
To create a Calendar, follow these simple steps:
1. Click the
icon next to the
Section in which the Calendar will be located.
2. Select 'Calendar' from the list of options
in the Drop-Down menu, enter a name and click Save.
Create a Calendar - Merged Calendar
You may create a Calendar which is actually a combination of two
or more regular Calendars. This Calendar does not allow you to
create events - everything shown on a Merged Calendar is from
it's child Calendars.
In order to create a Merged Calendar simply create a Merged Calendar
Application in your desired location with a descriptive name.
After you have created a Merged Calendar you can then add the
child Calendars. Do this by selecting your Merged Calendar, and
select 'Administration', followed by the 'Settings'
tab. Here you will see two buttons marked 'Add'
and 'Delete'. Select 'Add' to
bring up a new window which will allow you to choose a Calendar
to include in your merged view:
Choose the Calendar, a descriptive name and a colour scheme that
will differentiate it from other Calendars in the same view. Select
'Save' to confirm.
Creating a Event
When you have created a Calendar, you may now being adding Events.
The Noodle Calendar has built-in features that allow for Noodle
users to display and manage schedules effectively and conveniently.
To create an event, select the Calendar in which it is to be
placed and select 'New Event'. You will now be
shown a new window with various options for customizing your Event:
Event Details
Event Title
This field should contain the name of the event being created.
Make it as descriptive as possible but also concise - there is
a separate field for event details which allows users to go into
details regarding the event.
Set as all Day
This field allows the user to specify that the event being created
is an all-day event. Selecting this checkbox will gray-out the
Start and End fields.
Make event Private
Selecting this option allows the user to set security on the event
being created so that it is only viewable by them. This event
will therefore not show on any Merged Calendars that contain a
view of the calendar being used to create the event.
Start/End
These 2 fields allow the user to specify a time and date on which
the event will begin and end. Clicking the small calendar icon
to the right of the drop-down boxes will allow the user to navigate
a calendar to select a date.
Event Time Zone
This field allows the user to specify the time zone for the location
in which the event will take place. This will default to the time
zone setting or the user creating the event.
Event Type
This section allows users to specify what type of event they
are creating. Noodle has 6 event types (Company Event, Company
Meeting, General Event, Company News, Conference Call and Project
Status), however, Administrators or users with sufficient privileges
may create new Event Types by going to Application Administration.
Select Calendar and in the new window choose the 'Event
Types' tab.
Event Description
This field allows users to enter a paragraph describing the event
in detail.
If no other options are necessary, the user may click 'Quick
Save' to save the event as it is.
Options
Event Location
This field allows the user to specify a location for the event
being created. Due to the individual nature of locations, there
are no default locations created within Noodle. Locations can
be created in the same way as Event Types - navigate to Applications
within System Tools, select Calendar
and in the new window select the Locations tab.
Even more conveniently in the latest version of Noodle is the
ability to create Locations on the fly whilst creating an event.
Simply select 'Add' and specify the new Location
details in the new window.
Repeating
This section allows users to create events that repeat over a
period of time. Click the checkbox to expand the section and show
the repeating options.
The first set of options allows the user to specify the pattern
based on whether the event will repeat daily, weekly, monthly
or yearly. Daily events can be specified to repeat every X number
of days, weekly, monthly and yearly repeating events allow specific
days or dates to be specified. The second set of options allows
the user to specify when the repetition for the event will end.
This can either be set to a specific date or after a certain number
of occurrences.
Highlight this Event
This option allows the user to specify a colour for this event.
The user may also specify whether to show the time as busy, tentative,
out of the office or free.
Send a Reminder
Here the user may choose to send out a reminder to Noodle users
that this event is taking place. Select the group/s or user/s
to be reminded by selecting the name in the left list box and
clicking the right-pointing arrow to confirm and place the name
in the right-hand list box.
You now have two options to finalize your event. You may choose
to simply select 'Save' to place the Event in
your Calendar.
You may also choose to select 'Save and Notify'
after you have completed your Event details. This will bring up
a new window allowing the user to select any number of Users or
Groups to notify immediately upon completion of the Event creation.
Simply select the users you wish to be notified and the message
in the new window and select 'Send Notification'.
Your Event will now be shown on your Calendar and any Merged
Calendars that have the original Calendar as a child.
Importing and Exporting
If you already have a calendar set up on another computer or device,
Noodle has a step-by-step wizard to allow you to import Events
from another Calendar to Noodle. Alternatively, you may also export
your Noodle Calendar to Microsoft Outlook, a file or even your
Palm Pilot!
You must ensure that your mobile device is connected or Outlook
is running for Importing or Exporting to be successful.
Adjacent to the 'Add Event' button you will
see the 'Import/Export' button. Select this to
begin the process.
First you will be asked whether you wish to Import or Export.
You will then be asked for data source/destination and choose
what will happen with duplicate entries. You will receive confirmation
in the window if the action has ben successful and you should
now see your original entries in your destination Calendar.
Access Rights Explanations
Below is an explanation of how Access Rights affect what the User
is able to do:
- Read - Read access to a Calendar allows users to be able to view events only.
- Post - Post access allows users to view and also create new events on a Calendar, as well as create Locations.
- Modify - Modify permission allows Users to view, create and edit the details of a Calendar entry.
- Admin - Admin access permits the user access to the Administration section.
- Route - Routing is not applicable for the Calendar.
